Hotel Rules

1. General Provisions

1.1. These Rules govern the basic requirements for using the Hotel's services operating in Ukraine in the field of providing temporary accommodation (hotel services) to Guests, and regulate relations between Guests, Clients, and the Hotel as the provider of such services.

1.2. The Hotel's business activities are governed by the current legislation of Ukraine. In its operations, the Hotel is guided in particular by the "Rules for the use of hotels and similar accommodation facilities and provision of hotel services," approved by the order of the State Tourism Administration of Ukraine dated 16.03.2004 No. 19, and internal documents and rules.

2. Check-in Procedure

2.1. A room (place) is provided to the Guest upon presentation of a passport or other identity document (Ukrainian citizen passport, international passport, diplomatic or service passport, seafarer's identity document, crew member certificate, residence permit for a person living in Ukraine who is not a Ukrainian citizen, foreign national's passport or its equivalent and a visa to stay in Ukraine (unless otherwise provided by current bilateral agreements), birth certificate for minors under 16, driver's license, for military personnel — personal ID or military card, an ID issued at the consumer's place of work, etc.), and completion of a Guest registration card.

2.2. If vacancies are available and at the Guest's request, a room for two or more persons may be provided with full payment of the room rate according to the Hotel's established tariffs for double and multiple occupancy.

2.3. After completing check-in documents, the Guest is given a room key. Payment is made upon check-in, except in the following cases:

  • — The Guest provided their payment card to block the accommodation amount;
  • — The booking was made by a company with a cooperation agreement;
  • — There is permission from the hotel director, sales director, or front office manager.

2.4. Documents (passports or other documents), cash of any currency, valuables, etc. are not accepted by the Hotel as a deposit.

3. Arrival, Departure, Registration

  • — The Hotel operates 24 hours. Check-in time is 14:00; checkout time is 12:00. Payment is charged per day of stay according to checkout time.
  • — For stays of less than one day, full payment is charged for one day according to the established check-in and checkout times.
  • — Early check-in and late checkout are possible only with prior confirmed booking.
  • — In case of early departure due to a reduction in the stay compared to the booked period, the Guest must notify the Hotel one day in advance and pay a fine equal to one day's stay, plus payment for services actually rendered.
  • — Early check-in from 00:00 to 06:00 is charged an additional 100% of the daily room rate.
  • — Early check-in from 06:00 to 14:00 is charged an additional 50% of the daily room rate.
  • — Late checkout from 12:00 to 18:00 is charged an additional 50% of the daily room rate.
  • — Late checkout after 18:00 is charged 100% of the daily room rate.
  • — Children up to 5 years (inclusive) stay free of charge (with an extra bed if needed).
  • — Children from 6 to 16 years on an extra bed in a room are charged according to the Hotel's price list — 200 UAH/night. Adults on an extra bed — 200 UAH/night.

The Hotel may refuse check-in in the following cases:

  • — The Guest has no documents, or documents are invalid, expired, or suspected to be forged;
  • — The Guest has an unkempt or dirty appearance, or is in a state of alcohol, drug, or similar intoxication; their behavior is inadequate or aggressive;
  • — The Guest refuses to comply with the Hotel's rules;
  • — The Guest is on the unwanted guests list;
  • — In other cases provided for by the legislation of Ukraine.

In disputed cases, issues are resolved by the Hotel administration.

4. Room Booking, Cancellation, and Payment

4.1. Room Booking:

  • — The Hotel administration may enter into room booking agreements. When vacancies are available, the administration accepts booking requests from legal entities and individuals.
  • — The Hotel may conclude a booking agreement by mutual signing or by accepting a booking request via mail, phone, or other communication (including email or fax) that reliably identifies the requester. The agreement is considered concluded only upon the Hotel's written confirmation of the booking request.
  • — Booking requests are submitted by the Client within the timeframe set by the Hotel administration per the concluded agreement.
  • — A booking is considered non-guaranteed without payment. To make it guaranteed, the Guest must make a prepayment. A non-guaranteed booking is valid until 18:00 on the arrival date, after which the Hotel may cancel it without notice.
  • — The Guest may confirm the booking (making it a Guaranteed Booking) by paying a deposit equal to the cost of one night (partial prepayment for bookings longer than one night) or 100% of the total (full prepayment), via bank card, bank transfer, or other method.
  • — For early check-in services, confirmation is provided by the Hotel 48 hours before the check-in time (14:00) on the arrival day.
  • — For late checkout services, confirmation is provided by the Hotel 48 hours before checkout time (12:00) on the departure day.
  • — If the Guest does not arrive at the Hotel or cancels the booking later than 24 hours before 14:00 on the arrival date, the prepayment equal to one night's stay is non-refundable and is treated as a penalty in favour of the Hotel.
  • — By confirming a room booking, the Guest accepts and agrees to the above conditions, including the cancellation policy and no-show rules.

4.2. Booking Cancellation:

  • — A confirmed booking may be cancelled by sending the Hotel written notice to gentleman.hotel@ukr.net or by phone +38 098 551 99 00. Cancellation is free of charge (except for special non-refundable rates) if made at least 24 hours before the Guest's arrival date. The Client receives a cancellation confirmation.
  • — If the booking is cancelled after the specified time, the Client pays the Hotel 100% of the first night's cost of the confirmed booking, including additional services.
  • — If the Guest does not arrive or cancels later than 24 hours before 14:00 on the arrival date, the prepayment for one night is non-refundable and is treated as a penalty in favour of the Hotel.
  • — All hotel service prices are listed in Ukrainian hryvnias. Payment for accommodation is made in hryvnias.
  • — Payment for accommodation is made before or upon check-in. Payment may be made in cash, by credit card, bank transfer, etc. The Hotel accepts Visa, Mastercard, and American Express cards.
  • — The room rate includes a tourist tax of 32.50 UAH per person.

5. Guest Rights and Obligations

  • — Guests staying at the hotel must comply with these Rules, fire safety rules, and other regulatory documents and laws of Ukraine.
  • — The Hotel does not recommend leaving cash, valuables, or other items of value in the room.
  • — The Hotel is liable for the loss of cash, other valuables (securities, documents), and jewelry only if they were separately handed over to the Hotel for safekeeping (in a designated storage area or safety deposit box; in-room safes do not fall into this category).

5.1. Guests staying at the Hotel are prohibited from:

  • — Bringing and storing in rooms substances, materials, and objects that are dangerous to the life and health of citizens and the safety of property;
  • — Leaving unauthorized persons (those who did not present documents at check-in) in the room, or giving them the room key;
  • — Smoking tobacco products, e-cigarettes, and hookahs throughout the entire Hotel (in rooms, corridors, lobby, and restaurant, etc.). Smoking is permitted only in designated areas — information available at the reception. Smoking in prohibited areas incurs a fine of 2,000 UAH;
  • — Removing dishes, cutlery, food, or beverages from the restaurant without prior agreement with the restaurant administration;
  • — Using electric heating appliances not included in the room's inventory;
  • — Using Hotel or room equipment for purposes other than intended;
  • — Disturbing other Guests after 22:00 and before 08:00;
  • — Bringing and storing firearms, gas, pneumatic, and other types of weapons on Hotel premises.

5.2. Guest Rights and Duties:

  • — A Guest may invite visitors to their room from 07:00 to 23:00. If a visitor remains after 23:00, the Guest must pay the difference between single and double occupancy rates if originally booked for single occupancy. If two Guests were already registered in the room, an additional person charge applies per the Hotel's price list. Please contact the reception for pricing.
  • — The Guest is obligated to compensate the Hotel for losses in the event of loss or damage to Hotel property, and is also responsible for violations caused by their invited visitors. The amount of damages is determined by the Hotel administration and must be paid in full within five banking days from the date of the damage report.

5.3. Pet Policy:

  • — Pets permitted at the Hotel are cats and non-fighting-breed dogs weighing up to 10 kg. The Hotel reserves the right to refuse check-in to a Guest with a pet.
  • — No more than one pet is allowed per room. The pet stay fee is 200 UAH per night. Guests arriving with pets must have a pet passport and a veterinary certificate with a record of all vaccinations.

5.4. Air Raid Alert Notification:

  • — I have been informed about the hotel's internal notification system in the event of an air raid alert and informed about the location of the shelter.
